Attracting and On-boarding Ideal Clients for a Psychotherapy Practice (A Case Study)

Client Overview

This client, a Psychotherapy Practice with a Head of Practice and a number of additional Therapists, first hired us to revamped their brand and website to ensure it was equal parts approachable, distinct, and professional. After moving through our Human-Centered Brand Strategy process and engaging with a series of Artful Brand Design services, despite the fact that their team already included a Social Media Manager and Office Manager, they brought us on for Brand Stewardship.

The Challenge

The client needed a combination of creative and technical support services to create and manage a HIPAA-compliant lead capture, intake process for new patients, and scheduling and billing for existing clients.

  1. Intake Systems: Designed and implemented a HIPAA-compliant lead capture system and Client Portal to streamline onboarding, enhancing operational efficiency while maintaining the brand’s aesthetic.

  2. Identity Management: Upon request we provide on-going graphic design and copywriting to support the development of new marketing assets, such as brochures, cards, etc. We coordinate the setup and design of new back office system development to ensure messaging and visuals remain consistent. We provide training to the Social Media Marketer to ensure content aligns with the new brand strategy and identity. 

  3. System Mapping: Created a workflow visual aid to help the business owner better understand how the marketing channels and other communication channels are working together.

With a streamlined client intake system and optimized website, the practice saw improved efficiency in onboarding new clients. The brand development helped position the practice as approachable and professional, while also giving each therapist an individual platform to showcase their expertise. The client was extremely satisfied with the seamless systems which made running her practice smoother and the quality of the brand design which brings her joy and pride.
